Job Summary
The Medical Records Clerk I is responsible for performing the day-to-day clerical functions within the department, including responding to requests for release of information, answering phones, retrieving charts, scanning, and indexing documents to the EMR to meet the needs of the physician and hospital.
Essential Duties
- Make rounds to each department to pick up records and paperwork and/or drop off interoffice mail and Medical Records requests for information in a timely manner.
- Answer telephone calls and questions related to medical records policies and procedures in a courteous and professional manner.
- Serve as backup for the Clerk II position, including recording admissions and discharges onto the census log.
- Calculate and distribute daily, monthly, and annual death reports in a timely manner.
- Serve as backup for the Clerk II position by reviewing patient records using EMR to verify chart completion and record deficiencies as appropriate.
- Scan and record documents, release of information forms, and records from a patient’s visit to the date of service.
- Serve as backup to the Clerk II position for weekly physician delinquency reports.
- Deliver ED physician delinquency reports daily.
- Process all requests for information in accordance with department standards and timeframes.
- Enter data into the computer accurately per policy and procedure.
- Operate copy machine.
- Operate fax machine.
- Operate scanner.
- Perform other duties as assigned.
Qualification Requirements
Education and License
- High School Diploma or equivalent, preferred.
Certifications
- None.
Experience
- Previous work in an office setting, preferred.
Additional Qualifications
- Must be able to spend extended periods of time sitting at a computer.
- Must be able to concentrate and work well with external distractions and constant interruptions.
- Knowledge of HIPAA compliance.
- Good verbal and written skills.
- Ability to work independently.
- Computer competency: Microsoft Word and Microsoft Excel.
- Familiarity with other software, as implemented.
- Ability to work well with others as a team.
- Ability to follow written and/or oral directions with specific attention to detail for release of information.
- Must maintain patient confidentiality.
Work Environment
Works indoors in an office environment.
Physical Demands
Frequent use of computer and phone, and other standard office machines. Must be able to stand, sit, stoop, twist, kneel, reach, push, pull using proper body mechanics, and move/lift varying amounts of weight up to a maximum of 20 lbs.
